Your privacy matters to us. This policy explains exactly what data DispatchFast collects, why we collect it, and how we protect it. We keep this language plain and straightforward.

1. Overview

DispatchFast ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our document generation and signing platform. By using DispatchFast, you consent to the data practices described in this policy.

2. Information We Collect

We collect information you provide directly: account details (name, email, organization name, phone number, address), order data (vehicle information, pickup and delivery addresses, driver details), document content you generate, and payment information processed via Lemon Squeezy. We also collect usage data automatically: IP addresses, browser type, pages visited, and actions taken within the Service. For signing events, we collect the signer's name, IP address, user agent, and optional GPS coordinates - this data is required to establish the legal validity of electronic signatures.

3. How We Use Your Information

We use your information to: provide and maintain the Service; generate, store, and transmit documents on your behalf; send SMS and email notifications via Twilio and Resend; process payments; respond to your inquiries; monitor and analyze usage patterns to improve the Service; comply with legal obligations; and enforce our Terms of Service. We do not sell your personal information to third parties.

4. Data Sharing and Third Parties

We share your data only with service providers necessary to operate the Service: Supabase (database and authentication), Cloudflare R2 (file storage for documents and signature images), Twilio (SMS delivery), Resend (email delivery), Lemon Squeezy (payment processing), and PostHog (product analytics — only if you consent to analytics cookies). Each provider is contractually bound to protect your data and use it only to provide their services to us. We may also disclose data if required by law, court order, or to protect the rights and safety of DispatchFast or others.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. After account termination, we retain data for up to 90 days before permanent deletion, unless a longer retention period is required by law. Signed documents and audit logs may be retained longer to satisfy legal and regulatory requirements related to electronic signatures and transportation records.

6. Cookies and Tracking

We use two categories of cookies:

Essential Cookies — Session cookies set by Supabase to authenticate you and maintain a secure login session. These are strictly necessary for the Service to function and are always active. They do not track you across other websites.

Analytics Cookies — We use PostHog (posthog.com) to understand how DispatchFast is used: which features are accessed, how orders flow through the product, and where users encounter friction. PostHog sets ph_ prefixed cookies that record session identifiers, pages visited, and actions taken within the Service. PostHog does not use this data for advertising and does not sell it to third parties.

Consent — When you first visit DispatchFast, a cookie banner will appear. Clicking "Accept analytics" enables PostHog cookies. Clicking "Essential only" keeps analytics cookies disabled and no ph_ cookies will be set. You may change your preference at any time by clearing the cookie_consent key from your browser's localStorage and reloading the page.

We do not use advertising cookies, social media tracking pixels, or cross-site tracking of any kind.

7. Security

We implement technical and organizational measures to protect your data, including encrypted data transmission (TLS), encrypted storage, access controls, and regular security reviews. Document files and signature images are stored in Cloudflare R2 with access controlled by signed URLs that expire after a defined period. Despite these measures, no system is completely secure and we cannot guarantee absolute security.

8. Your Rights

Depending on your location, you may have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data (subject to legal retention requirements); object to or restrict processing of your data; and request a portable copy of your data. 9. Children's Privacy

DispatchFast is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will delete it.

10. International Transfers

DispatchFast is operated in the United States. If you access the Service from outside the US, your data may be transferred to and processed in the US, where privacy laws may differ from those in your country. By using the Service, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with a revised "Last Updated" date and, where appropriate, sending an email notification. Your continued use of the Service after the effective date of changes constitutes your acceptance of the updated policy.
